Responsibilities

The Municipal Banking Administrative Assistant is responsible for supporting the Municipal Banking Officer and Branch staff in execution of all administrative duties associated with municipal deposit functions, the lending function, assistance with selling and cross-selling of bank products, and adherence to bank loan policy guidelines and credit administration procedures. Group support is considered dynamic and may change periodically depending on workflow needs.

  • Support lending officer(s) in daily activities:
    • Approve overdrafts within the confines of authority, obtain proper approval when necessary
    • Initiate customer contact to resolve issues or satisfy needs including overdrafts, documentation exceptions or loan payment delinquencies
    • Independently work with customer and necessary parties (i.e. attorneys) to coordinate all phases of a loan closing; order and review loan documents to ensure compliance with bank policies and procedures; perform preliminary review of title work
    • Prepare all necessary tickets to load the loan(s)
    • Monitor covenant compliance
    • Monitor future loan maturities
    • Coordinate the opening of deposit accounts with the appropriate branch;
    • Scan documents for imaging
    • Set priorities and organize time to meet deadlines. Flexibility to work in fast-paced environment with changing priorities.
  • Actively support customer team relationships:
    • Build solid rapport and create seamlessness between the and Municipal Banking Officers and the and Municipal Banking Assistant and banking peers
    • Troubleshoot operational or credit administration issues impacting customers.
    • Assist customers with wire transfers, ACH transactions and Remote Deposit Capture transactions
    • Develop relationships via product support, assist with deposit product set-ups and cross-selling of products; ensure timely and successful installation of new customer systems such as on-line banking and remote deposit
  • Assist in the approval process:
    • Gather appropriate documentation (such as annual reports.), complete the COM Request Form and submit it to the Senior Credit Officer and then track the loan process through completion of COM for the lender, if necessary.
  • Perform Cash Management Services analysis, new account setups, and ongoing maintenance in conjunction with Municipal Banking Officer(s) and Branch Department personnel.
  • Perform any and all duties as assigned from time to time, including support to all branch managers and Municipal Banking Officer(s), when deemed necessary to support municipal banking customers.
  • As an integral member of the Municipal Banking Team, this position is also responsible to provide assistance wherever necessary to help the Team and the Bank in achieving their annual goals.

Qualifications

  • An Associate's degree or equivalent
  • Proficient reading, writing, grammar, and mathematics skills

  • Ability to comprehend and practice sound banking procedures and operations in a regulated environment
  • Aptitude and demonstrated proficiency in use of computer technology
  • Competency in relevant banking platform systems

  • One year of professional office experience
